Harbour's new AI functionality dramatically simplifies document annotation. This feature saves you time by auto-detecting and placing signer fields in .docx and PDF files. No more dragging and dropping--AI replaces the work of manual field mapping!
How It Works
AI field detection activates when a PDF or .dox file is uploaded via the "New Agreement," "New Template," or "New Draft" flow.
Once the document is uploaded, AI will automatically estimate the number of signers and fill in default information. It'll then search for fields in Step 3 (Place fields).
AI detects formatting patterns to locate fields in your document. Then it automatically places your annotations. If an annotation needs adjustments, you have full control over any edits needed: just click the annotation, and use the Settings sidebar on the right to make any edits.
Optimizing Documents for AI
While AI detection is powerful, the formatting of your document can improve the accuracy of field placement. Here's a few ways to clearly denote fields in your uploaded documents:
- When searching for fields in .docx files, AI looks for common placeholders like:
- underscores ( ______ )
- Brackets ( {} , [] )
- [Insert text]
- For PDFs, AI looks for visual clues like boxes or underlines.
AI then maps these detected fields to signer or agreement owner fields, where applicable.
Tips and Tricks
If you wish to place fields manually, the AI fields can be removed in one of two ways:
- Clicking "Cancel" while AI is searching for fields in Step 3
- Once the fields have been placed, a user can use the "Bulk update" feature on the right sidebar to remove all AI fields. Note this removes all AI fields. If a user desires to remove only certain fields, they should do so individually.
- AI Detection Triggers Only Once: Field detection runs automatically at the time of upload. Edits made after upload, or replacing the file content, will not retrigger detection. For best results, upload a finalized version of your document.
- If the document is blank at the time of upload, or if AI-generated text is added afterward, the system won’t detect those fields—because the AI has already completed its scan.
- If detection takes longer than expected, you can exit the AI flow anytime by clicking Cancel (as shown above).
- Our AI models are continuously evolving. Detection results may vary slightly with each upload as the system gets smarter.
